Are you a detail-oriented and proactive professional with a passion for customer service and finance? We are a reputable company seeking an Office Administrator to join our team immediately. As an integral member of our administrative staff, you will play a crucial role in contacting customers, managing invoice payments, and ensuring smooth contract operations.

Responsibilities:

  • Contact customers to address outstanding balances on invoices in a professional and courteous manner
  • Receive and process payments on accounts, ensuring accuracy and timeliness
  • Implement collection strategies to resolve outstanding issues
  • Collaborate with the finance team to monitor and manage accounts receivable
  • Review contracts to ensure compliance with company policies and relevant regulations
  • Issue certificates of insurance as required by contract agreements
  • Provide exceptional customer service, responding to inquiries and resolving concerns promptly
  • Maintain accurate records of customer interactions and financial transactions
  • Assist with general administrative tasks, including data entry and document management
  • Coordinate with other departments to facilitate efficient communication and processes
  • Uphold confidentiality and data protection standards in handling sensitive information


Qualifications:

  • 3 years’ experience in business-to-business collections or credit card processing
  • Prior experience with certificates of insurance is highly desirable
  • Excellent communication skills, both written and verbal
  • Strong attention to detail and ability to work with precision
  • Proficiency in using various computer software, including MS Office Suite
  • Exceptional organizational and time management abilities
  • Proven track record of providing excellent customer service
  • Ability to work independently and as a part of a team in a fast-paced environment
