Are you a detail-oriented and proactive professional with a passion for customer service and finance? We are a reputable company seeking an Office Administrator to join our team immediately. As an integral member of our administrative staff, you will play a crucial role in contacting customers, managing invoice payments, and ensuring smooth contract operations.
Responsibilities:
- Contact customers to address outstanding balances on invoices in a professional and courteous manner
- Receive and process payments on accounts, ensuring accuracy and timeliness
- Implement collection strategies to resolve outstanding issues
- Collaborate with the finance team to monitor and manage accounts receivable
- Review contracts to ensure compliance with company policies and relevant regulations
- Issue certificates of insurance as required by contract agreements
- Provide exceptional customer service, responding to inquiries and resolving concerns promptly
- Maintain accurate records of customer interactions and financial transactions
- Assist with general administrative tasks, including data entry and document management
- Coordinate with other departments to facilitate efficient communication and processes
- Uphold confidentiality and data protection standards in handling sensitive information
Qualifications:
- 3 years’ experience in business-to-business collections or credit card processing
- Prior experience with certificates of insurance is highly desirable
- Excellent communication skills, both written and verbal
- Strong attention to detail and ability to work with precision
- Proficiency in using various computer software, including MS Office Suite
- Exceptional organizational and time management abilities
- Proven track record of providing excellent customer service
- Ability to work independently and as a part of a team in a fast-paced environment
